Reports, Exports, and Approvals

Open Daylight from Jira's Apps menu. Reports shows your own hours by project and issue. Team shows monthly totals for approvers and admins.

Export your own hours

  1. Open Reports.
  2. Select This week, This month, Last month, or Custom.
  3. Review the project and issue totals.
  4. Select Export report (CSV).

If your admin enables cost tracking, the report also shows costs and project budget consumption. Personal Reports includes your logged time regardless of submission or approval status. The standard report CSV has two-decimal hour values; costs use the underlying duration and configured rate.

Export R&D project hours

If your organization enables grant tracking, admins can mark projects for R&D tracking under Settings → Projects. The grant label can differ if your organization uses a custom name.

In Reports, select the date range and use the separate grant-export button. This CSV includes your hours from marked projects, grouped by issue and month, with work descriptions. It also includes labor costs based on configured rates.

The export organizes time records for review. Your team remains responsible for project classification and claim preparation.

Review team hours

The Team tab is available to approvers and admins. Select This month or Last month.

  • Submitted mode includes submitted and approved timesheets.
  • All logged time includes work that has not been submitted.
  • The coverage card identifies people who have not logged or submitted time for the selected month. A person on holiday or leave for the whole month is not counted as missing.
  • The table shows each person's expected hours, the difference from what they logged, and their leave.
  • Admins can see cost totals when cost tracking is enabled.

Select Export team (CSV) for the person and project totals. The separate team grant export includes monthly totals for marked projects. Unlike the detailed export in Reports, the team grant export summarizes hours by person and project.

Configure approvals (admins)

  1. In Settings → Features, enable Approvals.
  2. Under Submission cadence, select Weekly or Monthly.
  3. Add reviewers under Approvers.
  4. If you need separate teams, assign members and approvers under Teams.

Only Jira site admins can change approver and team assignments. Without team scoping, the configured approvers work across the organization.

Review a submission

Open the Approvals tab to review submitted periods. Approve the hours or return the submission for corrections.

Submitted periods can be withdrawn with Unsubmit or rejected for corrections while pending. Approved periods remain read-only. Daylight currently has no action to reopen an approved period. This lock applies within Daylight. Direct Jira edits and other apps follow their own permissions. If someone changes time in Jira after a period was submitted or approved, the submission shows a changes after submit tag. The audit log lists each change.

Set rates and budgets (admins)

Set hourly rates under Settings → People rates or Projects. Under Projects, you can also set monthly hour budgets. Reports use these settings to calculate costs and show budget consumption.

When a person, a project and a client account all have a rate, the most specific rate applies:

  1. The person's rate on that client account.
  2. The client account's rate.
  3. The project's rate.
  4. The person's default rate.

Bill time to client accounts (admins)

A client account is a billing bucket that is separate from the Jira project. One project can bill to several accounts, and one account can cover several projects.

  1. Open Settings → Accounts and add an account with a key, a name and an optional rate.
  2. Link the account to one or more projects. The first link becomes the project's default.
  3. To import Tempo accounts, export them from Tempo as CSV and use Import CSV.

People pick an account when they log time. Time logged directly in Jira uses the project's default account. A closed account cannot take new time.

Add fields to each entry (admins)

Entry fields work like Tempo work attributes, for example "Work type: Dev, Meeting, Support". Open Settings → Entry fields to add up to 10 fields: pick list, text, number or yes/no.

A required field must have a value before Daylight saves an entry. Time logged directly in Jira can have no value. The timesheet and the approval screen mark those entries as missing. A retired field leaves the forms, and its old values stay in reports.

Set work schedules and holidays (admins)

  1. In Settings → Work schedules and holidays, select Add schedule and enter the hours for each weekday.
  2. Select Add holiday set and add the days off. Mark a half day where needed, or add dates from a calendar file (.ics).
  3. Assign each schedule and holiday set to a team or to a person.

A person's own schedule wins, then their daily target, then their team's schedule, then the default daily target. If someone is in two teams with different schedules, Daylight uses the first team by name and Settings says so. With no schedules, expected hours stay at the daily target on Monday to Friday.

Track time that is not on an issue (admins)

  1. Create a Jira project for internal time, with one issue per category, such as Vacation, Sick and Internal meetings.
  2. In Settings → Time not on an issue, pick that project.
  3. Mark the categories that are time off, then select Save.

Everyone needs the Jira Work on issues permission in that project. Settings tells you if you do not have it. Time in the internal project is never billable or R&D-eligible, and required entry fields do not apply to it.

Review the audit log (admins)

Settings → Audit log lists every time entry added, changed or deleted, in Daylight or in Jira itself. Each row shows who made the change, whose time it is, and the hours and date before and after. A change to a submitted or approved period is marked locked.

Filter by month, person, project, or locked periods only, and select Export CSV for a file. Rows are kept for 13 months. Jira does not say who deleted an entry outside Daylight, so those rows show Unknown.

Group reports by account or field

Under the report table, group hours by client account or by any pick-list or yes/no field. You can also filter by account and by field value. Export entries (CSV) gives one row per entry, with the account and one column for each field.
